Zip Intake-to-Procure simplifies the procurement process by efficiently collecting and managing vendor information, purchase requests, and other relevant data. It addresses business issues related to manual and time-consuming procurement tasks, streamlining the workflow. My scope of use ranges from vendor onboarding to purchase requisitions to submitting documents for signatures between vendor and supplier through another platform implemented with Zip Intake-to-Procure (Ironclad).
  • Streamlining processes
  • User friendly
  • data collection
  • Offer more customization options for users
  • Enhancements in integration capabilities with other procurement tools
  • more options for users with specific and unique procurement needs
Zip Intake-to-Procure is well suited in areas where standardizing and streamlining procurement processes are key such as small to medium-sized businesses or departments with strictly purchasing needs. It excels in collecting and managing vendor information, purchase requests and basic procurement data efficiently. Zip Intake-to-Procure may be less appropriate in large businesses with highly complex and specialized procurement requirements.
  • User-friendly interface
  • Customizable forms to adapt to specific needs
  • efficient workflows for streamline procurement processes
  • (Positive) streamlining procurement processes
  • (Positive) saving time and reducing manual errors
  • (negative) If Zip Intake-to-Procure doesn't fully meet specific business needs, it could have a limited impact or pose challenges in achieving certain objectives
Zip Intake-to-Procure focuses on streamlined data collection and form submissions while Coupa is primarily a comprehensive spend management platform. Zip Intake-to-Procure simplifies data gathering and Coupa is more for broader financial management solutions. Zip Intake-to-Procure makes life of Procurement easier.

We're a mature start-up that just recently implemented Zip Intake-to-Procure to rollout a more formal Procurement tool to help with vendor spend management. Previously, we were doing it off Netsuite (our ERP tool), and there was no centralized place to provide insights on open POs, committed spend, etc. Zip Intake-to-Procure now allows us to track spend at the vendor level and tie invoices back to specific POs
  • Admin level access is easy to use
  • Helpful to see SLA times by approval org
  • Provides good visibility for PO submitters to see where their PO currently is on the approval process
  • There are some duplicated fields such as anticipated total spend vs. price line item breakdown that asks for the same thing. This is a little bit tedious
  • Does not show which invoices got processed and applied to open POs
  • Does not integrate / migrate special custom fields within Zip Intake-to-Procure into other tech stacks (NetSuite)
I think Zip Intake-to-Procure would be a good option for smaller companies that don't need a lot of custom configuration and functionality. Additionally, if invoicing visibility and details are critical to users, Zip Intake-to-Procure may not be a strong candidate.

However, Zip Intake-to-Procure is constantly working on new capabilities and rolling out new features communications via their platform, so it's encouraging to see that they are incorporating feedback and building out stronger usability.
  • PO generation
  • Being able to apply invoices to POs
  • Standardizing vendor spend management and reporting insights
  • Zip Intake-to-Procure has helped clean up forecasting for us - we've improved accuracy by over 30% since now we're forcing folks to make sure spend is captured accurately and checking submitted PO amounts against the bottoms up forecast
  • We've also been able to leverage the SLA insights provided by Zip Intake-to-Procure to increase operational efficiencies. We're identified orgs that are slowing down the overall approval process and putting more pressure with shorter SLA times.
There are more reporting insights and better data visualization summaries in Zip Intake-to-Procure vs. Coupa (from when I last used it in 2022).

Zip Intake-to-Procure also feels a bit fresher and has a better UI experience than Coupa. The user experience is pretty straightforward and should have a low learning curve for those who have already used procurement tools before.

Our entire organization utilizes Zip Intake-to-Procure for Vendor Management and Purchase Requests. This tool has allowed our procurement, privacy, security, legal, and finance teams a single location for Vendor information and tracking.
  • Clear visibility into the PR workflow for all requesters and approvers
  • Ability to modify/tweak workflows based on particular requests or as our organization evolves without needing technical support from Zip Intake-to-Procure
  • Easy integrations into other tools already used by the organization including NetSuite, Slack, Asana and DocuSign
  • Vendor level records for tracking privacy and security data as well as vendor contacts
  • More robust reporting functionality. You can pull data out via a CSV but it would be great for there to already be standard reports and ability to create custom reports
  • Connection with our budget software so we can track PRs against budget line items
  • Ability to create and send out RFPs
Zip Intake-to-Procure is a great tool for a Procurement team to manage purchase requests whether the workflow is simple or complex and needs many parties to be involved. It allows us to capture information at the Vendor level so it helps procurement, finance, privacy and security teams have a single Vendor record (i.e., are they a data processor, what is their security risk level, what are all the requests for this vendor that have been submitted, what documents are attributed to this vendor). If you need a tool to not only approve a PR but make payments this tool is not yet there and does not have this functionality. It can manage documents at both the PR and Vendor level but it is not a tool to use for editing documents. It doesn't manage budget information, yet.
  • Sleek UI
  • Connection with NetSuite
  • Easy to administer
  • Improved visibility into purchase requests
  • Centralized Vendor management to allow better compliance for privacy and security
  • Our time to close a PR has increased initially but that is due to a more robust approvals process and as we spend more time in the tool that time will be reduced
  • We now have more time to focus on strategy and negotiations instead of tracking approvals at a manual level
  • Zip Intake-to-Procure has a easy to use tool with the ability to make changes as our organization evolves whereas the other tools require more time or technical support to make changes.
  • Zip Intake-to-Procure has more of a buy side focus than DocuSign CLM
  • Zip Intake-to-Procure has fewer modules and functionality (budgets and payments) than Coupa but those were not critical for us to make a massive improvement to our procurement process and since Zip Intake-to-Procure integrates with NetSuite we didn't have a need for a payment functionality.
  • Overall, Zip Intake-to-Procure brings a far more user friendly and streamlined experience to our organization which allows for immediate adoption and transparency for all requesters and approvers.
